Getting started right away, let me tell you this – You can create reports within Salesforce and even schedule them, without installing any additional app. Salesforce’s Trailblazer Community provides rich documentation on building reports.
However, going plain with Salesforce, you will be facing a number of limitations:
You can only schedule a limited number of reports
Reports cannot be sent as an attached file
No custom email templates available
No report sending to external emails (non-Salesforce users)
And that is why plenty of users prefer using an app to overcome these challenges – this is easier and less time-consuming than building something from scratch. Besides, not every user has the necessary developer skills.
If you like to try it out, you can get our free Report Sender app on the AppExchange. But maybe let me first give you a brief overview of the app.
Setting up Report Sender
In the following, I’d like to walk you through how easy you schedule reports with the Report Sender App:
Start by clicking your App Launcher, the icon in the top-left of your Salesforce dashboard (see the yellow arrow in the screenshot below).
This will pop open a window with all your available apps. Click the CloudAnswers Report Sender app, and we will begin scheduling your report.
To create a new report, or your first one, click the New Schedule button. Once you have created reports, you can easily manage them from here with edit, send now, and delete.
Now, you can set your report for frequent delivery by adding a meaningful name, selecting the report you want to send from your report folder, and adding further details like recipient(s), what time, and how often you want the report to be sent. A good add-on, you can enter a custom email subject and body, a few lines can do small miracles instead of sending out just the report without any words.
After saving your settings, you’re done ✅. The report will be sent at the scheduled time(s).
You can click the send now button to send the report immediately, but if you entered a schedule, it is not necessary.
Making sure things are set properly
When creating a new schedule, we recommend using the Preview button to send it to yourself and make sure everything looks good.
Send report results to non-Salesforce users by email
With our Report Sender App, you can send reports to any email address, including non-Salesforce users. The recipient receives the report as an attached Excel file. So you can ensure that anyone can access your reports without needing a Salesforce license.
