Secure File Sharing

Want to send a report or dashboard but in a more secure way than a file attachment? Here's how secure file sharing works.

Benefits

  1. Files are stored in Salesforce until they are securely downloaded by the recipient.

  2. Only recipients of the email can download the file, forwarded emails won't allow downloads.

How it Works

  1. After an admin completes the one-time setup, you enable "Send File Securely" on the report schedule.

  2. When the report or dashboard is sent, the recipient will receive a link to download the file securely.

  3. The recipient will have to enter their email address to receive a one-time use code.

  4. After entering the code, the file download will start automatically.

Viewing Logs

When using secure file sharing, logs are generated for anyone who gets a one-time password and downloads the file. These logs are in the same place as other logs for the schedule. Just click View Logs in the dropdown from the Report Sender tab.

And then you'll see logs like this, including when the email was sent, when an email with a code was sent, and when the file was downloaded.

The logs also show when a download was unsuccessful and include the email that was entered.

Setup

Since secure file sharing is done natively on Salesforce, it does require setting up a Force.com site. To set this up, have an admin follow the one-time setup instructions.
