Using Bulk Actions on the Schedules List

Quickly update dozens of schedules

The Schedules list lets you act on many report or dashboard schedules at once instead of opening and editing them one at a time. This is especially useful when a change affects a whole group of schedules: a departing employee's schedules need a new owner, a batch failed overnight and needs to be resent, or a set of schedules needs to be paused all at once.

Selecting Schedules

  • Check the box next to any schedule to select it individually.

  • Check the box in the column header to select every schedule currently visible on the page.

  • After selecting a page of schedules, a link appears to extend the selection to every schedule matching your current search or filter, not just what's visible. This also respects whatever you've filtered or searched for: if you're viewing only Active schedules, or have searched for schedules containing "Opportunities," only matching schedules are included, even when you select everything.

A running count of selected schedules appears above the list.

What You Can Do in Bulk

Once you've selected one or more schedules, click Bulk Update to choose an action:

  • Activate — turn on all selected schedules.

  • Deactivate — turn off all selected schedules, without deleting them.

  • Change Scheduled As — reassign all selected schedules to a different user. Useful when someone leaves the team and their schedules need a new owner.

  • Send Now — immediately resend all selected schedules, regardless of their normal schedule time.

Using Bulk Send Now

Send Now is the one bulk action that runs asynchronously and reports back per-schedule status, since each schedule's report or dashboard has to actually be generated and delivered:

  1. Select the schedules you want to resend and choose Bulk Update → Send Now.

  2. Confirm in the dialog that lists everything you're about to resend.

  3. Each schedule updates with its own status as processing completes:

    1. Sent — delivered successfully.

    2. Failed — see the status details for the reason (for example, the report is no longer accessible to the schedule owner).

    3. Skipped — the schedule was configured to skip sending when there's no data, and there was none.

    4. In Progress — still processing. Dashboards and large reports can take a couple of minutes.

  4. Once everything finishes, a summary shows the outcome count across the whole batch.

You can navigate away while a bulk Send Now is processing. It continues in the background, and the next time you view the Schedules list, you can view logs to see the results.
